Quilt Exhibition

Quilt Exhibition Guidelines
  1. Committee

    1. An exhibition committee shall be formed no later than 12 months prior to an exhibition

    2. Members of the exhibition committee shall appoint a committee chair

    3. A budget will be drawn up and submitted to the executive committee for approval

    4. Coordination responsibilities will be assigned to committee members to distribute the workload with other SPF members seconded for support as necessary

  2. Eligibility

    1. Only financial members of Sunraysia Patchwork Friends, Inc are permitted to submit entries to the quilt exhibition

    2. This condition may be waived where it is proposed by the Exhibition Committee and agreed by the General Committee to a special section, as a minor part of the overall exhibition, open to a specific category of non-members.

  3.  Entry Submission

    1. Entries must be submitted to the entry secretary using the supplied template.

    2. Typed and emailed entries are preferred.  An exhibition committee member will assist with this for those who are not able to submit in this manner.

    3. Information required includes the name of the quilt, its measurements-width x length stated in inches, the name of the maker, pattern designer and quilter and a description of the quilt. (max 150 words)

    4. All entries must be submitted to the entry secretary no later than one week prior to the exhibition.

    5. The exhibition committee guarantee the ability to hang one of your quilts.  This preference must be indicated with an asterisk (*) on your entry form.  More quilts will by hung at the discretion of the organisers.

    6. Entry submissions will be acknowledged upon receipt to confirm they have been correctly delivered.

  4. Quilts for Exhibition

    1. Quilts which have been shown in a previous SPF exhibition are ineligible for entry.

    2. Quilts must be finished.

    3. All quilts must have a hanging sleeve attached.  Quilts without a hanging sleeve may not be hung.

    4. The hanging sleeves on large quilts must be able to be put onto 25mm dowel with ease.

    5. Hanging sleeves must be securely attached either by stitching or closely placed pins.

    6. All quilts, no matter what size, require a label attached to the back of the quilt with the name of the quilt and the maker.

  5. Photography

    1. Photography is permitted at the exhibition.

    2. Anyone who does not wish for their quilt to be photographed and published on social media must indicate this on their entry form.  It is that member’s responsibility to affix a sign to the quilt advising the public of these requirements.

  6. Drop off and Pick Up

    1. All quilts must be signed into the exhibition by the owner or their delegate.

    2. Quilts must be delivered no later than the specified time as notified in the newsletter on the Friday set up day by the owner or a delegate.

    3. Quilts are to be collected at the completion of the exhibition by the owner or a delegate.

    4. All quilts must be signed out of the exhibition by the owner or their delegate.

  7. Trading Table

    1. Items for sale at the trading table are to be made by or belong to SPF members.

    2. Trading table items are to be delivered to the venue by the specified time as notified in the newsletter on the set up day.  No items will be accepted after this time.

    3. All items must be individually ticketed using the tickets supplied by the club.  This includes your initials, a unique number and price of the item.

    4. A list of your sale items with your name, the item numbers and price against each item, using the form supplied in the newsletter must be handed to the trading table coordinator on delivery

    5. SPF retains 10% commission on the sale of all items.

    6. All care will be taken to ensure the security of your items, however this cannot be guaranteed.  Items are displayed at the sellers’ risk.

    7. Items returned must be checked against the original list given to the trading table coordinator and any discrepancies noted.

  8. Competitions

    1. All quilts not previously part of a challenge are eligible for consideration for the Viewers’ Choice prize.

    2. One viewer’s Choice voting slip will be distributed to each paid entry.

    3. Quilts entered will be displayed with a unique number for this purpose.

    4. Viewers’ Choice prizes are awarded to the top three quilts as voted by the viewing public.  Where there is a draw for any two or three positions the prize money will be combined and divided equally between the winners.  Where there is a tie for third place the prize money for third will be equally divided between the third place winners.

    5. Group challenge entries will be exhibited together.  As these have previously been judged and prizes awarded they are ineligible for the viewers’ choice award.

    6. Prize money is to be ratified by the General Committee as part of the budget submission for each exhibition.
